This Privacy Policy explains how Volt collects, uses, stores, and protects personal data when you use the service. Volt is designed for UK-based trades businesses and other business users who need to create quotes, manage customers, schedule jobs, and issue invoices.

  • account details such as your name, email address, login details, company name, and role;
  • company profile details you add, including address, phone number, VAT number, and logo;
  • customer and job data entered by you, including customer names, addresses, contact details, quote items, invoice records, and work notes;

2. Legal basis for processing

We process personal data primarily because it is necessary to perform our contract with you and provide the Volt service. We may also process data where it is necessary for our legitimate interests, including keeping the platform secure, preventing abuse, improving reliability, and responding to support or operational issues.

We use personal data to:

  • create and administer your account;
  • store and display the business and customer information you enter;
  • process subscription payments and maintain billing records;
  • send service emails such as verification, password reset, and operational notifications;

4. Hosting and storage location

Volt is intended to be hosted within the UK or EEA where possible. Where supporting services operate outside the UK, appropriate safeguards should be used to protect transferred data. Your data is stored in the application database and related storage systems configured for this deployment.

5. Third-party processors

We may share limited data with service providers that support Volt, including:

  • Stripe for subscription payments and billing operations;
  • the configured SMTP or email provider used to send account and operational emails;
  • Sentry where enabled, for application error tracking and reliability monitoring.

6. Your rights under UK GDPR

Depending on the circumstances, you may have the right to request access to your personal data, correction of inaccurate data, deletion of data, restriction of processing, or portability of the data you provided. You may also object to certain processing based on legitimate interests.

7. Retention

Unless a longer retention period is required for legal, tax, or accounting reasons, account data can be deleted 90 days after account closure when requested. During that period, data may remain available for export, recovery, or compliance purposes. Backups may persist for a limited additional period before routine deletion.

We use reasonable technical and organisational measures to protect the data held in Volt, including access controls, authentication safeguards, and security headers within the application. No internet service can guarantee absolute security, so users should also keep their passwords and devices secure.
